PsycheCare ("we", "our", "us") takes your privacy seriously. This policy explains how we collect, use, share, and protect your information when you use our website (our "Website"), our mobile application (our "App"), and our online therapy services (collectively, the "Services").


HIPAA Compliance and Protected Health Information (PHI)

If you are a US subscriber to PsycheCare Services, the medical information and personal data you provide is considered Protected Health Information ("PHI") . This information is protected under the Health Insurance Portability and Accountability Act of 1996 ("HIPAA") and the applicable provisions of the HITECH Act.

  • Medical Information includes data that identifies you and relates to your past, present, or future physical or mental health, treatment, or payment for care.
  • This Privacy Policy is supplemented by the HIPAA Notice of Privacy Practices of PsycheCare or your Provider, which provides further detail on your rights concerning your PHI.

We process information (classified as personal data or PHI) to provide and improve our Services. The following table details the types of data, the source, and the primary uses:

  • Provide you with the Services and match you to a therapist.
  • Administer your account, process billing, and handle insurance claims.
  • Provide mandatory reporting to law enforcement in instances of abuse or threats of violence.
  • Send announcements and communicate for marketing purposes (subject to opt-out).

Use of Therapy Services Data (PHI)

Information disclosed in chat transcripts, audio/video communications, documents shared, clinical progress tracked (via symptom tracker), emergency contact details, and mental health/medical history.

Through your direct use of the Services and communication with your therapist.
  • Deliver the Services and conduct quality assurance.
  • Build, modify, and develop new features and clinical tools.
  • Provide assistance in the event of a patient emergency.
  • Address patient concerns and compliance activities.

Technical and Usage Data

Internet Protocol (IP) addresses, Device ID, Browser type, Operating system, Geolocation (derived from IP), referrer URL, and metrics on system or App feature use.

Automatically collected through the use of the Website, App, and Services (via cookies, pixels, etc.).
  • Maintain security and infrastructure integrity.
  • Monitor performance and optimize service delivery.
  • Detect and remediate fraudulent or harmful activity.
  • Create aggregated data for internal research and service improvement.

Advanced Data Processing and AI

PsycheCare utilizes advanced data processing, including Natural Language Processing (NLP) of communications with therapists, to enhance the quality of care. A core focus of this machine learning is to:

  • Provide your therapist with insights on patient needs and behaviors.
  • Offer techniques and suggestions to the therapist that are likely to maximize clinical outcomes .
  • Generate clinical notes where specifically requested by your licensed therapist.

Peer Support Services (Community Forums)

When you participate in moderated peer support forums (e.g., PsycheCare Community Forums ), you acknowledge that these services are not a substitute for therapy . Information you post, including your public username, will be visible to other users and may be re-shared. You can remove posts via account settings, but you must never publicly share personal identifying data like your real name, email, or address in these forums.


Your Privacy Rights and Choices

You have control over how we collect and use your information, including the following rights, which we honor regardless of your location (unless restricted by law):

1. Access, Correction, and Deletion

You may request access to, correction of, or deletion of your Personal Information. Certain legal and clinical exceptions, such as mandatory medical record retention laws, may prevent the immediate or complete deletion of PHI.

2. Opting Out of Communications

You can stop receiving marketing or promotional emails by unsubscribing via the link in the message or by contacting us.

3. Restricting Tracking

You can ask us to limit the use of cookies, pixels, or web beacons . For EU, EEA, and UK residents, additional rights are provided under the GDPR.

To exercise any of these rights, please complete the appropriate data request form (available in your account settings) and submit it along with photo identification to our Privacy Officer at privacy@psychecare.com .


Security and Contact

We take commercially reasonable steps and comply with HIPAA security rules to protect the integrity and confidentiality of your information. However, no security measure is perfect. It is your responsibility to be cautious about the information you choose to share when using the Services.
